Meetings

Studies vary by topic, duration, and audience. A responsive study, one conducted in a timeframe that is responsive to sponsor need, can range from a few months to, more typically, a year. During the study, the STIB or a STIB subcommittee meets several days per month for fact-finding and deliberations. At the end of this phase of the study, findings and recommendations are determined and codified, and final products (briefing and report) developed. The full Board votes on the products, and the study is briefed to the sponsor for next steps. A final product is typically signed and distributed by the sponsor (USW)R&E)) to stakeholders throughout the Department of War. Often, this process is followed by several months of briefing to individual stakeholders.

In order to request parking, we need their vehicle information and plate number; unsure how we’ve handled rental cars in the past; need guidance from other folks. Wondering if creating a parking request form DIRECTLY in the portal would be easier than asking members to submit an email.

Accessing the Pentagon: 

  • Proceed through the Pentagon Visitors Entrance. Have your ID ready to show the entrance guard.
  • Proceed to a window, where an agent will verify your identity and associated approvals to be on the reservation that day.
  • You will receive a visitors badge.
  • Proceed through security and remove cell phones from pockets, smartwatches from wrists, and any other electronic devises from your person.
  • If you are on the ESCORT roster, a member of the STIB team will meet you in the Visitors Waiting Area. If you are on the NO ESCORT roster, you may proceed through the Visitors waiting area to the turnstiles to enter the Pentagon.

Metro: SAIC Rosslyn is located two short blocks from the Rosslyn Metro stop on the Blue-Orange-Silver Line Metro.

  • From the metro Rosslyn exit (facing McDonald’s and Open Road restaurant), turn left onto N Moore St, then left on 19th Street, after one block turn right onto Ft. Myer Drive. Proceed to 1911 on right.

Parking: Paid parking garage for SAIC Rosslyn, operated by Atlantic Parking, is located at 1930 North Moore Street, Arlington, VA 22209.

  • Maximum vehicle height allowed is 6’ 2”.
  • As you enter the garage, make an immediate left to the spots above or the next left for the spots below. You may park anywhere in either the green or red areas (not the blue).
  • The garage provides parking for two separate buildings. Elevators are located on different levels of the garage – ensure to take an elevator for 1911 Ft Myer. One of three elevators for 1911, located on the entry/exit level of the garage, is located at the “1215” position when entering the garage.
  • Parking will be reimbursed through DTS. Please pay for parking, retain receipts, and provide receipts with reimbursement requests. (See TRAVEL GUIDANCE page)

Clearance Use

Clearances provided are ONLY in support of ACTIVE STIB ACTIVITIES and STIB BUSINESS.

Meeting Security Protocols (for ALL meetings, regardless of locations)

  • Briefcases, purses/bags, folders, personal notebooks, electronic devices*, etc., are prohibited in all classified meeting spaces. These items must be secured outside of these workspaces.

    *NOTE: This does not apply to approved medically prescribed equipment, e.g., heart monitors, glucose monitors, insulin pumps, hearing aids, and other such devices, but these do require a waiver approval.

  • All bags, containers, and personal items are subject to search upon entering a DoW installation or federal property in accordance with Federal Regulation 41 CFR Part 102-74 and DoWM 5200.08 vol 3.

  • In classified spaces, notetaking will be allowed only on notebooks that have been issued by the STIB.
  • Audio and or videotaping will not be authorized.
  • Possession of photographic equipment, audio recording devices, cellular phones, wireless transmitters, or other electronic transmitting or recording devices is prohibited within the restricted area.

No classified data, materials, or media shall be removed from the restricted area under any circumstances.

Procedure for Use of Approved Medically Prescribed Equipment

SHOULD WE define what is Medically Prescribed Equipment?

To ensure accountability and compliance of medical devices, please notify your DFO/ADFO as soon as possible. The DFO/ADFO will coordinate with the STIB ASR who will coordinate with the OUSW(R&E) Security Office for approval of your waiver. It is also your responsibility to ensure any Bluetooth or wireless components are disabled before entering any secure spaces.

  • Use “Medical Device Waiver” form. Form is for OUSW(R&E) spaces only.  Download your medical waiver here.
    • Please complete #1 through #9.
    • Please ensure #4 is 100% complete.
      • Ensure the make and model are provided.
      • Please know, specific makes of multiple models.
      • Failure to provide the make and model will result in the form being returned. Please ensure #5 is 100% complete.
    • Please ensure #5 is 100% complete.
      • Ensure the correct device URL is provided or ensure the technical specifications are provided.
    • Once complete, submit to the R&E Security group email box

Reading Days / Reading Classified Materials

  • Reading days are only offered on the day(s) before and/or the day(s) after a STIB meeting related to the material in question on an as-needed basis.
  • Please email the lead analyst to request a reading day session no less than 30 days before the desired reading day. Study chairs/leads should also be included in the email, as other members may have expressed interest.
  • Final reservations must be placed no less than 14 days in advance, to allow the analysts the minimum required time to secure a classified meeting space and courier the materials accordingly. THIS SEEMS IN CONFLICT WITH THE ABOVE?
  • Occasionally, reading sessions will be coordinated during the prior meeting with the study leads and lead analysts in attendance. Should that be the case, the lead analyst will advise of availability.
  • Any SAP reading sessions are coordinated on a case-by-case. Reach out to your lead analyst to be connected with the STIB’s SAP analyst for coordination at least 30 days in advance. PLEASE NOTE: These are usually limited to the STIB chair and study leads and will likely be limited to the day before or after the associated meeting.
